Information submitted through the site
If you use the contact form, HOPE receives your name, email address, optional phone number, selected interest, message, gift selection, submission time, the fact that the inquiry came from hopecard.ca and the fact that you acknowledged this notice.
This information is used to answer your inquiry, discuss a potential gift, organize volunteer or advocate interest, explore a vendor or community relationship and plan the Hamilton pilot.
Where inquiry information goes
Website inquiries pass through hopecard.ca’s Vercel-hosted form endpoint to Google Apps Script. The script stores them in a Google Sheet controlled by the project lead and emails a notification containing the submitted details to the project lead’s Gmail account. Vercel and Google may process this information outside Canada, including in the United States, where it can be subject to the laws of that country. Inquiry information is not sold, rented or used for third-party advertising.
Payment information
Secure payment is not currently open. When it is activated, checkout will be hosted by Stripe or the confirmed receiving charity’s approved payment provider. HOPE will not receive or store full card numbers on this website. The processor and receiving charity may collect donor details required to complete the transaction, prevent fraud, reconcile gifts and issue an eligible receipt.
Analytics
The site is prepared to measure non-sensitive actions such as a gift amount button being selected or a checkout being opened. Names, email addresses, phone numbers and free-form messages must not be sent into analytics.
Member information and stories
No member system is operating today. This public website does not provide donors with access to member identities, vendors, locations, purchase histories or case notes. A story will be shared only with meaningful and continuing consent, with the person’s safety, dignity and voice at the centre.
When information may be disclosed
HOPE may disclose information with consent, to service providers that help operate the website, when a child-protection duty to report applies, when serious imminent harm must be addressed, or when disclosure is required by lawful authority. These are limits on confidentiality, not donor access rights. Future members will be told the applicable limits before participation.
Retention and choices
Ordinary inquiry records are reviewed after 12 months and deleted no later than 24 months after the last substantive contact, unless you ask to remain on the founding list, an active relationship continues, or a limited record must be kept for legal, financial, security or accountability reasons. To ask what is held about you, correct it, withdraw from the list or request deletion, use the contact form and select “Privacy request,” or email the Privacy Officer directly.
Changes
This notice will change as the pilot, payment destination and receiving-charity pathway are confirmed. The effective date at the top will be updated when material changes are published.
